Business Support Officer – Reception & Admissions

Location: Birmingham – Great Barr
Contract: Full-time / Term-time 8am – 4pm
Start Date: 16th March 2026 – Long Term

About the Role

GSL Education is seeking a professional, welcoming, and highly organised Business Support Officer – Reception & Admissions to work in a busy school environment. This is a key front-facing role, supporting the smooth day-to-day running of the school while contributing to a positive experience for pupils, parents, staff, and visitors.

The successful candidate will provide high-quality reception, admissions, and administrative support, playing an important role in ensuring the school operates efficiently and effectively in support of teaching and learning.

Key Responsibilities

Reception & Admissions

  • Act as the first point of contact for parents, visitors, and members of the public, both in person and by telephone.
  • Respond to enquiries from prospective parents via email, telephone, and face-to-face meetings.
  • Maintain and update admissions waiting lists, including in-year applications.
  • Process admission applications, input pupil data accurately, and maintain records.
  • Communicate with parents in writing, confirming visits, start dates, and requesting documentation where required.
  • Administer admissions appeals and liaise with external schools and agencies as necessary.
  • Support the administration of free school meal applications.
  • Provide basic first aid and welfare support to pupils when required.

School Administration

  • Provide effective clerical and administrative support to staff and senior leaders.
  • Manage reprographics, including photocopying, laminating, and document preparation.
  • Sort, distribute, and dispatch post and correspondence efficiently.
  • Maintain manual and computerised records using management information systems.
  • Follow established administrative procedures in a professional and confidential manner.

Facilities, Health & Safety

  • Support the administration of health and safety procedures, including fire drills and visitor management.
  • Ensure visitors and contractors are signed in and safeguarding procedures are followed at all times.
  • Promote a safe, secure, and welcoming environment for all members of the school community.

Communication & Relationships

  • Build positive working relationships with pupils, parents, staff, and external stakeholders.
  • Respond promptly and professionally to enquiries and requests.
  • Receive deliveries and manage parcels appropriately.

Person Specification

Essential Criteria

  • GCSEs (or equivalent) including English and Maths.
  • Experience working in an administrative or reception-based role.
  • Strong IT skills, including Microsoft Word, Excel, and Outlook.
  • Excellent verbal and written communication skills.
  • Ability to prioritise tasks, work accurately under pressure, and use initiative.
  • A professional, friendly, and calm manner with a commitment to confidentiality.
  • Strong interpersonal and teamwork skills.
  • Commitment to safeguarding, equality, and diversity.

Desirable Criteria

  • Experience working in a school or educational setting.
  • Experience of student admissions or pupil data administration.
  • Familiarity with management information systems (e.g. Bromcom or similar).
  • Experience using financial or administrative systems.
  • Ability to communicate in community languages.
